Cheshire Best Kept Stations
Cheshire Best Kept Stations (CBKS) is a voluntary organisation which recognises and supports Station Friends Groups across Cheshire and surrounding areas through an annual awards scheme and related activities.
We are committed to handling personal information responsibly and transparently.

1. Who we are
Cheshire Best Kept Stations is the data controller for the personal information we hold.

2. What information we hold
We may hold personal information relating to:
–  Members of Station Friends Groups
–  Rail industry employees connected with local stations
–  Supporters of CBKS
–  Individuals attending our Annual Awards Evening
Information held may include:
–  Name
–  Email address
–  Station or organisational affiliation
–  Role (e.g. Chair, volunteer, rail officer)
–  Postal address (where required for event administration)
–  Dietary requirement codes for events (e.g. V, VE, GF)
We only collect information necessary for administering our activities.

3. Why we hold your information
We use personal information to:
–  Communicate about the Cheshire Best Kept Stations awards
–  Share relevant news and updates
–  Liaise with station friends groups, rail partners and supporters
–  Organise and administer the Annual Awards Evening
Our lawful basis for processing this information is legitimate interests, as individuals connected with stations or CBKS would reasonably expect to receive relevant communication.
Where dietary information is provided for events, it is processed with consent and used solely for that event.

4. Email communications
We use Mailchimp to manage and distribute email communications. Mailchimp acts as our data processor and handles information in accordance with UK data protection law.
You may unsubscribe from email communications at any time by using the link provided in our emails.

5. Event information
For the Annual Awards Evening, we may collect contact details, postal addresses and dietary requirements.
Dietary information is indicated only by short codes (e.g. V, VE, GF) to assist event organisation and is not used for any other purpose. Dietary information is deleted shortly after the event.

6. Sharing information
We do not sell personal data or share it for commercial marketing purposes.
Judges are not provided with personal contact lists.

7. Retention
We retain personal information while individuals remain involved with stations or wish to receive information from CBKS. Records are reviewed periodically.

8. Your rights
Under UK data protection law, you have the right to:
–  Request access to your personal data
–  Request correction of inaccurate data
–  Request deletion of your data
–  Object to processing in certain circumstances
If you are dissatisfied with how we handle your data, you have the right to complain to the Information Commissioner’s Office.
